Custom Learner Data tool

Your dashboard comes set up with 8 basic learner data fields, First Name, Last Name, Location, Login Name, Password, Email Address, Supervisor Status and Learner Role. You also have the option to create your own custom learner data fields to better organize and track your learners. These custom fields can become the basis for Learner Groups or Course Tracks. Here are some examples of custom fields: Position, Title, Office, Department, Region, Hire date, and Last Completed Training date, among others. Your dashboard can have up to 18 text fields and 8 date fields.

 

The Custom Learner Data tool is located in the Professional Tools section of the dashboard.

 

 

Creating a New Custom Date Field

  1. Click on the Date Fields tab.
  2. Enter a name into one of the Name fields. Names can be up to 100 characters. The date format is MM.DD.YYYY.
  3. When you are satisfied, click on the Save Field Names button.
  4.  You can have up to 8 Custom Date Fields

 

Creating a New Custom Text Field

  1. Click on the Text Fields tab.
  2. Enter the name of the field into one of the text fields. Names can be up to 100 characters.
  3. If you are using the HRIS Sync method or the automated FTP sync feature to upload learners and plan to use the field for the unique key, select the Unique Key option
  4. When you are satisfied, click on the Save Field Names button.
  5.  You can have up to 18 Custom Text Fields

 

Deactivating a Custom Date or Text Field

If you are no longer using a custom data field, you can deactivate it.

  • in the Active section, change the selection to Inactive.

 

Adding a Login Name or Password label

You can add a label that will appear next to the Login Name or Password fields in the Add New Learner tool, Learner profile, and spreadsheet upload template. This can be useful if there are several administrators on one account and you wish to use the same format for login names or passwords. To set a Login Name or Password label:

  1. Click on the Login Name or Password Label tabs.
  2. Enter a name in the Login Name or Password Label field
  3. Click the Save button.

 

Deleting a Login Name or Password Label

  1. Click on the Login Name Label or Password Label tabs.
  2. Click the Clear button. This will erase the label.
