3/22/2016 Course Track Completion Email issue postmortem

On the morning of 3/22/2016, an email routine triggered a completion email to be sent to some learners who had completed a course track in the past but had not been sent a completion email for that course track. In some cases, this triggered completion emails for learners who had completed a course track some time ago, and may cause confusion.

What was the cause of the email issue:

The cause was determined to be a side-effect of a recent update to the Course Tracks reporting routines. A recent update to the Course Tracks included a routine that inserted the date that the course track was completed by the learner. This allows for the improved reporting available for course tracks in the Reports by Course Track link on your dashboard. 

On accounts where the Course Track- Completed template in the Automatic Email Updates section was set to Send, learners who did not previously receive a completion email or did not have a Course Track completion date set may have been sent a completion email.

Who was affected:

Only accounts using the automated Course Track routine, where the Course Track- Completed template in the Automatic Email Updates section was set to Send were affected by this issue.

Accounts that do not use course tracks, or had the Course Track- Completed template set to Do Not Send were not affected by this issue.

Due to the nature of the email routine, this is a one-time issue. As an additional safeguard, we have defaulted the Course Track completion email status to Do Not Send.
